Board Member Outline
The AAFRG Board consists of community members that work together to offer programs for families in and around Altona. The Board meets once a month with the exception of July and December and the committees meet as needed. Board members nominate executive positions which include secretary, treasurer and co-chairs.
The amount of time that a board member offers to the group varies from member to member. Each board member is highly valued and is an important part of the team. Board members volunteer to be a part of the commitee(s) that are outlined below. Our board members for the 2008 - 2009 season are: Dorothy Braun (co-chair), Tracey Loewen (co-Chair), Ev Kehler, Nina Edbom-Kehler, Terry McMillan, Martha Sawatzky, Gwen Harder, Rose Hille
Please note that for each committee the chair is responsible for calling meetings whenever necessary and contacts all their committee members regarding the meeting. If the committee chair is presented with a problem or concern that he/she can not resolve on their own, the committee chair should consult with the AAFRG co-chairs.
Public Relations & Fundraising Committee Outline
Chair: Nina Edbom-Kehler
- Help coordinator advertise upcoming programs being run at the Centre or through the Resource Group.
- Keep current Scrapbook of AAFRG events. Include pictures, newspaper articles, etc.
- Purchase articles with the AAFRG logo to promote the Centre for different Programs
- Organize events such as Open House and Volunteer Appreciation.
- Raise funds within the community.
- Advertise and be present at the Preschool Fair (every second year)
- Maintain a promotional bill board to be transported to various events as needed
- Maintain the AAFRG website to keep it as current as possible
Programming Committee Outline
Chair: Dorothy Braun
- If coordinator is not in attendance, pass minutes or program details along to her ASAP (next working day).
- Arrange programs according to budget outline.
- Make a yearly outlook of all programs running
- Assess all programs during or after they have run.
- Be a link for coordinator to organize programs that need a facilitator, childcare, etc.
- Link in to other committees for advertising, volunteers, etc. to have the best running programs possible.
- Give coordinator list of programs running for the next few months so that a "season at a glance" calendar can be made.
- Keep a yearly outlook and develop it as programs come nearer.
Volunteer & Personnel Committee Outline
Chair: Ev Kehler
- advertise for, Interview and Hire a coordinator
- oversee coordinator's position along with the AAFRG co-chairs
- co-chair should be in weekly contact with coordinator to ascertain needs and provide support.
- review description of coordinators duties semi-annually with coordinator and give guidance to him/her.
- help coordinator find volunteers for variety of different needs ie. childcare, baking, cleaning, facilitating when needed.
- be in contact with PR to thank volunteers & employees.
- help coordinator plan annual Volunteer Appreciation event (April).
- maintain a volunteer task outline and facilitator job description.
Toy Lending & Resource Library Outline
Chair: Martha Sawatzky
- purchase toys according to budget and funds raised
- purchase toys according to requests of users and needs of Centre
- tidy and straighten toy lending library as needed
- keep track of all toys that have missing/broken pieces
- purchase new toys, replacement pieces when needed
- catalogue new toy library items when purchased/donated
- take photos of new items and put them in the catalogue
- label all new toys with their number and description
- chaeck catalogue periodically and change photos if needed
- replace toy labels as needed
- take inventory once a year
- ararnge for volunteers to help clean toys when needed
- post toy lending library hours at the Centre
- maintain and look after Resource Library
- set up a booth bi-annually at the Preschool Fair
Finance, Grants & Applications Committee Outline
Chair: Ev Kehler
- make a yearly financial projection
- help coordinate fundraising events
- apply for government and other grants
- help treasurer with any unclear monies
Treasurer Position:
- keep monthly record of all account transactions
- make sure Credit Union statement coincides with our records
- file receipts for all transactions which require a receipt
- give a report to the board at board meetings or submit report to chair
- pay coordinator every two weeks
- submit GST forms
- submit Charitable organization form
- pay bills
